Business Operations Supervisor, University Center
Directs and participates in the financial accounting, reconciliation, and record-keeping for the University Center (UC), generates requisitions, prepares invoices, approves vendor payments, and produces required financial reports. Oversees day to day operations of the University Center and its staff.
PRIMARY DUTIES AND RESPONSIBILITIES*:
- Reviews and processes invoices for UC account. Matches appropriate paperwork, verifies accounting information, posts and enters data to accounts payable system, and reconciles data. Ensures timeliness and accuracy of related account processes.
- Prepares invoices for client meeting rooms and events; college partner office rentals, events and semester billings; prepares invoices for Department of Corrections GED and other proctored tests. Processes payments, reconciles accounts, prepares and makes deposits. Contacts customers with outstanding invoices.
- Maintains NCTA certification and assures compliance with applicable rules and regulations. Compiles annual NCTA report, including, testing surveys, financial data, and tester data.
- Directs University Center marketing efforts by developing, creating, and approving marketing materials.
- Prepares required financial reports, and other related accounting documentation.
- Maintains schedules and communication with Test Companies, non-partner colleges or businesses who have contracted services with the UC for exam proctoring.
- Maintains relationships with local area business leaders to foster a collaborative educational environment. Represents the UC at business functions.
- Participates in planning activities and carries out strategic initiatives.
- Oversees the supervision and performance of technical support staff, contracted custodial staff, building maintenance, IT, and security personnel.
- Administers exams when necessary. May proctor depending on staffing needs.
- Supervises the Student & Community Support Specialist and part-time Technical Support Staff.
- Performs other related duties as assigned.
SUPERVISION – Works under the general supervision of the Vice President of Business Services.
ATTENDANCE – Individuals in this position are generally expected to be available during normal business hours, and may occasionally be required to work evenings and weekends. May from time to time be required to fill in for absent staff.
WORKING CONDITIONS – Conditions are those of a typical office environment, requiring frequent oral communication with clients, colleagues, and college staff, and the ability to enter and retrieve data and written communications in electronic format in a timely manner. May be occasionally required to work off-site, which may involve extended hours and travel in inclement weather.
MINIMUM QUALIFICATIONS
- Associate degree in business, accounting, or related field.
- Three to five years of related experience, or combination of education and experience commensurate with the requirements of this position.
- Knowledge of basic accounting principles; experience with computers and the ability to learn and use a variety of personal computer software.
