This is a full-time, 12-month, non-exempt position that reports to the Chief of Police and is located at the JWCC campus in Quincy, Illinois. Position begins immediately.
JOB DESCRIPTION
John Wood Community College (JWCC) is seeking an organized and detail-oriented individual to serve as the Administrative Assistant to the Chief of Police. The Administrative Assistant to the Chief of Police will serve as the primary point of contact with other offices, including external agencies. This position will greet and assist anyone seeking assistance from Campus Police, handling phone calls and assisting visitors in person. The Administrative Assistant will provide comprehensive administrative support to the Chief of Police and the Campus Police Department, assisting with day-to-day operations, communications, and coordination of safety initiatives. The ideal candidate will have strong organizational skills, a proactive mindset, and the ability to handle sensitive information with discretion.
KEY RESPONSIBILIES
- Provide administrative support to the Chief of Police, including scheduling meetings, managing calendars, and preparing reports.
- Handle communication with staff, students, and external agencies on behalf of the Chief of Police.
- Maintain records related to the Campus Police Department, security reports, and incident documentation.
- Assist in the coordination of training programs and campus safety initiatives.
- Prepare and distribute department correspondence, including memos, emails, and announcements.
- Manage office supplies and inventory for the Campus Police Department.
- Support the organization and coordination of Campus Police safety events, drills, and emergency preparedness activities.
- Handle confidential information and sensitive matters with integrity and discretion.
- Assist with implementation of the college's risk management program.
- Maintain knowledge of all campus grounds and buildings, including the location and operation of all alarms and safety equipment.
- Maintain knowledge of Emergency Response Procedures and the Campus Police response to all emergencies as listed in those procedures.
- Perform other duties as assigned by the Chief of Police to support the department's mission.
QUALIFICATIONS
Education:
- High school diploma or equivalent required. Associate's degree in Administrative Assistance, Business Administration, or a related field is preferred.
Experience:
- Previous administrative experience is required, preferably in a public safety, law enforcement, or educational setting.
- Experience with scheduling, record-keeping, and handling confidential information is essential.
Skills and Competencies:
- Strong organizational skills with attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with database management systems.
- Ability to handle multiple tasks and prioritize workload effectively.
- Strong interpersonal skills and the ability to interact with diverse groups of people.
- Discretion in handling sensitive information and matters related to the Campus Police Department
- Ability to problem solve and use critical thinking to assess and mitigate risk.
