Under supervision and/or direction, incumbents are responsible for performing administrative and logistical functions (responding to inquiries regarding programs, coordinating and preparing course materials, arranging interviews, scheduling rooms, and preparing correspondence and related materials) in support of WD&CE programs and services.
Contacts and interactions vary and may involve multiple constituencies, such as direct interaction with the business community, outside agencies, faculty, colleagues, managers, directors, students, families, vendors, contractors, and consultants.
Essential functions include but are not limited to:
- Coordinate preparing and distributing course materials and reports for instructors and/or students.
- Schedule courses within the program to include dates, times, and room reservations. Reserve necessary instructional equipment.
- Respond to queries about program offerings.
- Serve as liaison to parents regarding various class-related communications by responding to parental concerns and attending conferences and meetings to discuss programs. Communications may be in more than one language.
- Distribute promotional materials and assist students and others regarding programs, services, policies, and course requirements.
- Maintain office files and course records regarding student registration, academic standing, and course completion.
- Prepare reports and documents for non-credit open enrollment programs. Receive and maintain class records, generate certificates, proofread program outreach materials, create advertisements, and maintain/update databases. Distribute certificates of completion.
- Research the status of office records and transactions and determine/identify a course of action to expedite the completion of materials.
- Assist in marketing/outreach efforts by proofreading and creating course catalog and website content, coordinating student information sessions, updating mailing lists, and distributing marketing materials.
- Assist with the processing and orientation of new faculty, maintain the faculty information database, assist with organizing instructional meetings for faculty, and communicate with faculty on various administrative issues through preparing correspondence and Letters of Agreement.
- Performs other duties as assigned.
- High school diploma or GED, supplemented by courses in office practices, and/or any combination of education, training and experience providing an understanding of the field and the ability to perform the duties of the job.
- Two years of progressively responsible experience performing general office and clerical duties involving customer service.
- Communicate effectively (verbally and in writing) and follow written and verbal instructions.
- Work independently as well as with multiple teams (including academic and IT teams).
- Develop and maintain customer relationships; influence, build credibility and trust.
- Knowledge of Microsoft Office (Microsoft Word, Access, Excel, and PowerPoint).
- Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship
Salary range: $22.89 per hour
