Job Description

DESCRIPTION

Napa Valley College is seeking an Academic Affairs Specialist, International Students Program. 

The incumbent in this position will be assisting with providing services and program activities including outreach, orientation, college re-entry assistance, and financial aid guidance; and maintaining services in compliance with established program guidelines.  Employees in this job classification perform the functions and related tasks indigenous to the work assignment and/location in which they serve.  

This job reports to the Assistant Superintendent/Vice President, Academic Affairs 

This is a full-time, 12-months-per-year, classified position. The salary has an appropriate placement on range 15 of the current Classified Salary Schedule. The salary range is $4,462 to $6,279/month. Placement is made based on experience.  The college offers a fringe benefit package including medical, dental, vision, disability and life insurance, employee assistance program, and public employee retirement system membership.   

DUTIES AND RESPONSIBILITIES

Essential Functions:

  • Assists with day-to-day operations of assigned program and/or departmental responsibilities (e.g. procedures, strategic planning, grant implementation, financial aid, etc.) for the purpose of achieving organizational objectives.
  • Collaborates with internal and external personnel and organizations (e.g. college and K-12 faculty, public agencies, community members, etc.) for the purpose of implementing and maintaining services and programs under established guidelines and procedures.
  • Assists with a wide variety of complex materials (e.g. budgets, funding requests, Student Learning Outcomes (SLOs)/Service Area Outcomes (SAOs), program materials, confidential records, program materials, etc.) for the purpose of supporting the documentation of activities, meeting compliance requirements, providing audit references, making presentations, and providing supporting materials.
  • Communicates with staff, faculty, students, and the public (local business and industry, etc.) for the purpose of providing information or direction and implementing relationship processes with multiple populations.
  • Compiles data from a wide variety of sources (e.g. public agencies, college departments, financial aid, etc.) for the purpose of identifying and contacting potential students, informing students of program-related services, tracking student progress, ensuring compliance with organization policies and procedures, and monitoring program components.
  • Coordinates program activities and special events activities (e.g. scheduled activities and events, college tours, outreach activities, career pathways, summer bridge, etc.) for the purpose of providing activities to enrich student life and retention.
  • Facilitates student related meetings, workshops, seminars (e.g. NVC academic affairs actions involving outside agencies, interdepartmental needs, etc.) for the purpose of providing primary services and following district guidelines and regulations.
  • Maintains a variety of files and records (e.g. reports, student records, databases, disability verification documents, etc.) for the purpose of documenting activities, providing written reports, and complying with mandated requirements, including confidential materials.
  • Participates in a variety of meetings (e.g. local and regional, workshops, seminars, conferences, etc.) for the purpose of conveying and gathering information regarding a wide variety of subjects required to carry out necessary functions.
  • Prepares a wide variety of reports, documents and correspondence (e.g. letters, reports, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
  • Presents information on a variety of topics related to academic affairs responsibilities and refers to counselors as appropriate (e.g. overviews of programs/services, policies and procedures, etc.) for the purpose of providing general information, training others, implementing actions, and assisting students in preparation of formal counseling sessions.
  • Provides program intake and orientation services (e.g. counseling, admissions, financial aid/EOPS, vocational, basic skills, and transfer programs, etc.) for the purpose of providing services within established timeframes and in compliance with related requirements, and assisting students in preparing for formal counseling sessions.
  • Researches a wide variety of topics (e.g. CTE Pathways and Programs, policies, regulations, current practices, financial resources, regional economic and workforce trends, etc.) for the purpose of assisting with the development of new programs/services.
Other Functions:
  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Minimum Qualifications

Skills, Knowledge and Abilities:

SKILLS are required to perform multiple, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including utilizing pertinent software applications; read and interpret statistical summaries; planning and managing projects and programs; developing effective working relationships; preparing and maintaining accurate records; optimal communication skills across a variety of modalities; maintenance and use of online informational databases; and developing outreach with students, personnel, and community.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and analyze situations to define issues and draw conclusions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: pertinent laws, codes, policies, and/or regulations, personnel processes, and standard business practices, statistics, operations, procedures, specific rules, and precedents of academic affairs at California Community Colleges; practices and activities in an academic affairs program; and composing a variety of documents.

ABILITY is required to schedule a number of activities, meetings, and/or events; often gather, collate, and/or classify data; and consider a number of factors when using equipment. Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using standardized methods. Ability is also required to work with a diversity of individuals and/or groups; work with data of varied types and/or purposes; and utilize a variety of job-related equipment. Problem solving is required to identify issues and create action plans. Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is moderate. Specific ability based competencies required to satisfactorily perform the functions of the job include: establishing and maintaining effective working relationships; meeting deadlines and schedules; setting priorities; working with multiple projects, frequent interruptions, and changing work priorities; working with detailed information/data and maintaining accurate records; maintaining confidentiality; solving problems; public speaking; facilitating group discussions; and demonstrated sensitivity to an understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic background of community college students.
 
Responsibility:
Responsibilities include: working under limited supervision using standardized practices and/or methods; leading, guiding, and/or coordinating others; operating within a defined budget. Utilization of resources from other work units is often required to perform the job's functions. There is some opportunity to impact the organization's services.
 
Work Environment:
The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling, and significant fine finger dexterity. Generally the job requires 60% sitting, 20% walking, and 20% standing. The job is performed in a generally hazard free environment and in a clean atmosphere.
 
Experience:
Three (3) years of job related experience with increasing levels of responsibility.

Education:
Bachelors degree in job-related area.

Equivalency:
Community college and/or vocational school degree with study in job-related area and five (5) years of job related experience with increasing levels of responsibility.

Valid CA Driver's License & Evidence of Insurability

Desirable Qualifications:

  • Proven track record in recruiting and onboarding international students in a higher education setting.
  • Strong background in marketing strategies tailored for diverse audiences, especially in the context of education.
  • In-depth understanding of U.S. visa requirements, processes, and SEVIS regulations related to international students.
  • Ability to work effectively with individuals from various cultural backgrounds and an understanding of the international student experience.
  • Excellent written and verbal communication skills.
  • Experience in processing application materials, maintaining records, and managing databases efficiently, including understanding and working within program budgets.
  • Skills in organizing orientation programs, workshops, and other events for international students or other student populations.
  • Familiarity with advising students on academic, personal, and immigration-related matters.
  • Ability to work collaboratively with faculty, staff, and external partners to enhance the international student experience.
  • Strong analytical skills to address challenges faced by international students and implement effective solutions.
